Payments may be processed by an external payment gateway, such as Stripe, PayPal, Square, WooPayments, or another provider identified during checkout.

The payment provider may receive information necessary to process and support your transaction, including:

  • Device or fraud-prevention information; and

  • A unique transaction or payment identifier.

PLYHS generally does not receive or store your complete credit-card number or card security code. Payment information is handled by the applicable payment provider according to its own terms and privacy policy.

Payment-provider availability may change. The provider shown during checkout is the provider responsible for processing that payment.

6. Event Tickets, RSVPs, and Attendee Information

PLYHS uses Event Tickets and Event Tickets Plus to sell tickets, accept RSVPs, manage attendance, and collect registration information.

Depending on the event and ticket type, we may collect:

  • Purchaser name and email address;

  • Individual attendee names and email addresses;

  • Telephone numbers;

  • Ticket type;

  • Event name and date;

  • Order number;

  • Ticket or security code;

  • RSVP status;

  • Check-in status and check-in time;

  • Responses to custom attendee questions;

  • Accessibility or accommodation requests;

  • Guest counts;

  • Seating, reservation, or hospitality selections;

  • Age or eligibility confirmations;

  • Emergency-contact information when reasonably necessary; and

  • Consent to event-specific terms or policies.

When one person purchases tickets for other attendees, the purchaser is responsible for ensuring that they are authorized to provide those attendees’ information.

Attendee information may be accessible to authorized PLYHS personnel, event producers, front-of-house personnel, check-in staff, venue representatives, or contractors who need the information to administer the event.

We do not publicly display an attendee list unless that possibility is clearly disclosed during registration and the attendee has been given an appropriate choice.

Ticket Communications

Purchasers and attendees may receive transactional communications relating to their registration, including:

  • Order confirmations;

  • Tickets;

  • Event reminders;

  • Schedule or venue changes;

  • Safety or accessibility information;

  • Cancellation notices;

  • Refund information; and

  • Other information necessary to administer the event.

Receiving a transactional event communication does not automatically enroll a person in general marketing emails.

PLYHS may use Brevo or another email-service provider to manage email subscriptions and send newsletters, announcements, fundraising messages, event information, sponsorship opportunities, and other marketing communications.

When you subscribe, we may collect:

  • Email address;

  • Organization name;

  • Areas of interest;

  • Subscription source;

  • Date and time of consent;

  • IP address associated with signup;

  • Email-delivery status;

  • Opens and link interactions;

  • Unsubscribe requests; and

  • Other engagement information.

We send marketing communications when you have subscribed, provided appropriate consent, or when another lawful basis permits the communication.

Purchasing a ticket or product does not, by itself, mean that every attendee has agreed to receive general marketing communications. Marketing consent must be obtained separately where required.

You may unsubscribe at any time by selecting the unsubscribe link in a marketing email or contacting us at zac@plyhs.org. We may retain limited information on a suppression list to ensure that we honor your unsubscribe request.

Unsubscribing from marketing messages will not prevent us from sending necessary transaction, account, ticket, safety, or event-administration communications.

8. Contact Forms, Applications, and Other Submissions

When you submit a form, we collect the information entered into that form and may also collect your IP address, browser information, submission time, page URL, and anti-spam information.

Forms may include:

  • Volunteer interest;

  • Performer or artist applications;

Certain PLYHS projects may operate under the fiscal sponsorship of Fractured Atlas.

When you select a contribution or donation link, you may be redirected to a website or payment page operated by Fractured Atlas or another third-party fundraising platform. Information submitted on that platform is collected and processed under that platform’s privacy policy and terms.

Fractured Atlas or another fundraising provider may provide PLYHS with donor reports or information such as:

  • Donor name;

  • Contact information;

  • Contribution amount;

  • Contribution date;

  • Project designation;

  • Recognition preference;

  • Anonymous-giving preference; and

  • Information necessary to acknowledge or administer the contribution.

PLYHS does not control the independent data-processing practices of Fractured Atlas or another external fundraising platform.

11. Comments

If comments are enabled and you leave a comment, we collect the information shown in the comment form, along with your IP address and browser user-agent information to assist with spam detection and website security.

An anonymized string generated from your email address may be provided to the Gravatar service to determine whether you use that service. After a comment is approved, a Gravatar profile image may be publicly visible with the comment.

Comments and associated metadata may be retained indefinitely so that we can recognize follow-up comments and maintain the integrity of the discussion.

12. Uploaded Media and Files

If you upload an image or other media file, avoid including embedded location information, including EXIF GPS data, unless that information is necessary.

Website visitors may be able to download publicly displayed images and extract embedded metadata.

Files submitted privately through an order, application, registration, advertisement, or contact form will be used for the purpose for which they were submitted. Access will be limited to personnel and service providers who reasonably need the files.

Retention periods may include:

  • Completed orders and payment records: retained for the period reasonably necessary for accounting, tax, fraud-prevention, chargeback, and legal purposes, which may be up to seven years or longer when required;

  • Pending, failed, or canceled orders: retained temporarily for administration, troubleshooting, fraud prevention, and customer service before deletion or anonymization;

  • Ticket and attendee records: retained through the event and for a reasonable administrative period afterward; information connected to a financial transaction may remain with the applicable order record;

  • Account information: retained while the account remains active and for a reasonable period afterward, unless deletion is requested or continued retention is required;

  • Marketing information: retained until you unsubscribe, withdraw consent, or the information is no longer needed, with limited suppression information retained to honor opt-out requests;

  • Contact-form and inquiry records: generally retained for up to two years after the matter is closed unless a longer period is appropriate;

  • Sponsorship, advertising, and partnership records: retained for the duration of the relationship and the applicable financial or legal retention period;

  • Comments: retained indefinitely unless removed;

  • Security and technical logs: retained for a reasonable period necessary to detect problems, investigate incidents, and protect the website; and

  • Applications or submissions: retained for the applicable selection or program period and for a reasonable administrative period afterward.

Deletion or anonymization may not immediately remove information from secured backups. Backup copies are removed according to normal backup-retention schedules.

The general PLYHS website is not directed toward children under 13.
